Many of you who are reading this message have likely been busy preparing your business or workplaces for working under the restrictions of the COVID 19 Alert Level 3.
Or for those of you who are considering what Level 3 means more broadly for your family, you will have some thoughts and ideas about how you want to engage with your contractor that you are allowing on to your property.
As so often in life, it comes down to TRUST. It works both ways and involves mutual respect. You want to know that your contractor is keeping you safe and your contractor wants to know that you are also going to follow our rules so that we can feel safe on the job.
In this blog I want to discuss what we have put in place to keep our staff and our client’s safe from the spread of COVID 19 under alert Level 3.
Implementing Standard Operating Procedures to Keep us all Safe
Over the past few weeks, we as a team, have developed our COVID 19 – standard operating procedures (SOP) for Pro Climb and Pro Climb. This document will help us not only to implement the measures needed to keep us all safe but also to create a benchmark to measure our performance against.
We all know that even the best plan never can be executed entirely as planned; there are always things that do not quite work. A good strategy has ways of measuring and recording when things do not work; this allows for the plan to be modified and updated as required. We have anticipated for this within our procedures.
I am not going to dive into all the details of the SOP but will concentrate only on the client interaction part in this blog . If you have any questions about any other section of the SOP, please feel free to contact me.
How is our sales process going to work under COVID 19 Alert Level 3?
In most cases, we will need to visit the site where the trees, in order to be able to give you a quote.
Every tree is different, and part of our service is to provide you with advice on how to best manage your tree asset. We can only do this if we can look at the tree/s and understand the site requirements.
If it is currently absolutely not possible to access the site, but you need a quote for future planning, we can set up a ‘Google meeting’ where you walk us through your garden on your phone.
What will happen onsite?
When we arrive at the site to look at the work, we will not ring the doorbell but instead will give you a call on the phone to let you know we are there.
We will ask you to keep a 2m distance to us while we look at your trees. Alternatively, if you are not at home or you prefer staying inside your home, you can guide us over the phone around your garden.
We will not be handing you a business card or any information material. As a replacement, we will text you a digital business card to your phone and email you your quote and any information material.
How is work scheduling and having the team onsite going to work under COVID 19 Alert Level 3?
Once you have accepted the quotation, we will schedule the work on a date and time convened for you. Part of our scheduling process is to discuss with you how the team will execute the work on your property and how they can best communicate with you throughout the day (2m distance or via phone).
Again our team will call you when they arrive onsite and not ring the doorbell. As prior arranged, they will keep a 2m distance from you or communicate via phone. The team will ask you if it is OK for them to open gates and move stuff in the garden (like kids toys and garden furniture) or if you want to do it. Please be aware we are not able to disinfect any surface you ask us to touch, this you will need to do yourself once we have left the property.
We ask you to keep your pets inside throughout the whole time our team is on your property.
We are recording all contact that we have with others so that we can inform you if we have had any exposure to COVID 19.
All staff are recording all their visited locations and people they have met at these locations in our contact tracing sheet.
Making payment under COVID 19 Alert Level 3
If possible we would like to ask you to make all payments via online banking and not to send us cheques.
We understand that the lock down has been hard on all of us.
So if you have tree work that needs doing, but you are unable to meet our standard payment terms, do not hesitate to contact us.
